Johnson & Johnson is recruiting for an Executive Administrative Assistant to be located in New Brunswick, NJ. This position may require up to 10% travel.

The Executive Administrative Assistant will be responsible for providing support to the Chief Medical Officer for Janssen and to other members of the team as needed.  This position will be based in New Brunswick, NJ.

Key Responsibilities:

> Coordinating complex calendars

> Scheduling and arranging large and small meetings with internal, external and global partners

> Preparing domestic and international travel, expense reports, presentations, memos and correspondence

> Scanning e-mail for executive and highlighting items for review or action

> Appropriately and confidentially handle documentation in a timely manner

> Following up on items delegated to others by the leader

> Maintaining current department-wide distribution lists for e-mail, etc.

> Screening calls and responding to complex inquiries from all levels of employees or external sources regarding a variety of questions

> Providing support on contracts, purchase orders, and other administrative support on behalf of the leader

> Providing support for large departmental and group meetings, including logistical support (meeting room space, catering requirements, AV  support, agenda support)

> Partnering with other Administration Assistants in the organization as needed

> Execute consistent and precise follow-up by ensuring issues are resolved and projects completed.

> The incumbent will present a professional and welcoming presence, representing the office of the Chief Medical Officer, including communications with employees, internal and external customers and partners, senior executives, and board members


Qualifications

> A minimum of a High School diploma is required; a relevant Associates Degree preferred.

> A minimum of 6 years of advanced administrative/secretarial experience required.

> Executive level support of a VP or above is required.

> Must have strong computer skills and proficiency with productivity tools and portal technology (e. g. OurSource, Live meeting, Concur, Ariba, Global Connect, Workday, etc.) and working with Microsoft office programs (Outlook, Word, Excel, PowerPoint).

> Proven experience with calendar management and meeting scheduling dealing with multiple time zones is required.

> Proven experience handling sensitive and confidential information and documents is required.

> Must be able to exercise sound judgment and discretion, maintain strict confidentiality, independently assess and resolve complex situations/problems, and have the flexibility to respond to shifting priorities.

> Must possess strong knowledge of and demonstrated ability with personal computers and associated office software programs and serve as the Vice President’s proxy with respect to various financial and human resources systems.

Job Salary 

The base pay range for this position is $59,850 to $96,600. The Company maintains highly competitive, performance-based compensation programs.  Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan.  

The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation’s performance over a calendar/ performance year.  Bonuses are awarded at the Company’s discretion on an individual basis.
